General Questions

What is HuskyDM?

HuskyDM is the on-line system the Provost Office has implemented since academic year 2011 -2012 for UConn faculty activity data collection and reporting.  It is managed with the Digital Measures product Activity Insight (http://www.digitalmeasures.com/activity-insight/benefits/) which is intended to create one faculty activity database serving many reporting purposes for both the faculty member and the University.

Who uses the HuskyDM system and why?

As a repository of various faculty activities, the HuskyDM system is to provide complete and valuable information regarding what UConn faculty have done and how their activities positively impact the local, national and global community.  Historically, faculty had to submit multiple reports in paper form about their teaching, research and service activities, to fulfill the reporting requirements such as promotion and tenure, provost’s annual report among others.  With this system in place, the goal is to eliminate the need for paper submission of this information.  While faculty can use the system to enter and submit their activity information, the university also uses this data for accreditation, outreach/community involvement, and many other reporting purposes.

How does the HuskyDM System Work?

While this on-line system gives its users 24/7 all year round access to the system, it only allows enabled users of UConn to enter, change data or to generate reports.  Faculty users access the system using their NetID and password once their accounts are created at the request of their home academic department.  Any other UConn employees who need to access the system are required to obtain permission from their supervisors for their level of security role in the system, such as department, or college reporting.

All faculty users have access solely to their own information and confidentiality is assured.  However, the department or college administrators reserve the right to review individual faculty data and to report the aggregated data of their own academic units.

To avoid duplication for reporting of faculty shared products and activities, the system offers its users linked yet non-editable account, which means when a faculty enters a piece of shared work with other UConn faculty, be it a publication, or a research project or an outreach activity, this information will appear on the collaborator’s account, and can only be changed from the original data entry account.

Faculty can request in writing to entrust another person (by providing the full name, NetID, email address and the department affiliation) to help entering their data.

Which reports can be generated in HuskyDM?

Currently the HuskyDM system allows all UConn faculty and administrators to generate the following reports:

Provost Annual Report

  •  When the Provost Annual Report (PAR) is due at the end of each academic year, faculty should have finished all the data entries for those items with “*” on the screens, and submit their PAR by completing the Data Entry Completion Status page.
  •  Based on the submitted faculty activities data, department and/or college administrators generate their academic units’ PAR summary report.

Provost Annual Report (Detailed)

  •  This report provides the detailed information that constitutes the numbers of each PAR item.
  •  While faculty can see which activity goes into their current year PAR, department and/or college administrators will also see each faculty member’s activities of the year.

Promotion, Tenure and Reappointment Form

The HuskyDM system has enabled the collection of most the information Promotion Tenure and Reappointment (PTR) form requires; therefore, it can generate a PTR form for faculty if the required data already exist in the system.

Intellectual Contributions

  • Intellectual Contributions by Faculty – this report lists the citations of all intellectual contributions of a particular faculty, with current academic year as the default reporting period.
  • Intellectual Contributions by Department – this report is the same as above, but it is sorted by type of contributions and publication status, with current academic year as the default reporting period.  Only authorized HuskyDM administrators can generate this report.
  • Intellectual Contributions by College – this report is the same as above, but it is sorted by type of contributions and publication status, with current academic year as the default reporting period.  Only authorized HuskyDM administrators can generate this report.

Annual Activity Summary for Merit

  • This report offers Business School’s Merit Report model, which is intended to provide a framework for collecting and reporting faculty activities that count for merit.
  • Schools or departments are welcome to try this model and offer your suggestions for improvement and additions to serve a wider scope of disciplines.

HuskyDM administrators can also run User Status Verification Report, Data Entry Completion Status Report, and some other school specific reports to help them administer data collection and respond to ad hoc data request reports.

Provost Annual Report

Are there any changes in the PAR from last year?

No, the PAR is unchanged from last year.

Who is required to enter annual activity information in HuskyDM?

Only faculty who are required to file PAR need to enter their annual activity information in HuskyDM. These include:

  • All tenured and tenure track faculty at Storrs and the regional campuses;
  • All In-residence, visiting, and other non-tenure track regular payroll faculty at Storrs and the regional campuses.

Adjunct faculty and research faculty paid on special payroll are not required to enter annual activities for the Provost Annual Report, and therefore do not have an account automatically created in the HuskyDM system.  If special payroll faculty are required by their department head to submit their annual activities for the PAR, they will need to contact HuskyDM Support at huskydm@uconn.edu

Faculty in the Health Center do NOT need to enter information through HuskyDM.

Is the reporting process any different than last year?

No.

When will HuskyDM be available for PAR data entry?

HuskyDM is available all year long for faculty to enter your UConn related activities.  Your course and advisee information from PeopleSoft for this academic year will show up on your account in mid-April.

Do I have to submit a hard copy of the PAR?

No.  But you must select “Provost Annual Report” to the question “I have completed this year’s data entry for” and specify the date you update your PAR on the Data Entry Completion Status page at the bottom of the main screen when you are done.

Will there be training sessions for the PAR and HuskyDM?

Yes, hands-on training sessions will be provided in spring semester.  Attendees are required to bring their own laptop, and will enter their own information into the HuskyDM during the training session.  These training sessions will primarily cover data entry for PAR, data importing and reporting, as well as a general introduction to HuskyDM system. Data Entry

What information is required in HuskyDM?

Required screens and fields are marked with an asterisk (*). NOTE: Although none of the date fields are required for Intellectual Contributions, at least one date must be entered in order for the publication to appear on any reports.

What are BibTeX Imports?

BibTeX Imports is an import tool built by Digital Measures, which offers an easy upload of the publication citations into your Intellectual Contributions screen. BibTeX is the most broadly supported standardized way to structure publication citations in a file. This makes it easy to move citations between two software applications. Many citation databases and reference managers now export BibTeX files, which can be directly imported into your HuskyDM account via this function. If you have your citations in any citation repository such as Google Scholar, or in a reference manager such as EndNote, ProCite, RefWorks, or Zotero, you can now load them from those systems directly into your Intellectual Contributions screen.

I have publication citation information in Crossref, PubMed, Scopus, or Web of Science. Can I import this data?

What data is currently uploaded from UConn systems and what is the intended purpose for these uploads?

Class Section Information: Displays by term ALL sections assigned to an instructor.

This information is provided to allow the instructor to verify that the information contained in UConn’s student record system is consistent with the instructor’s actual teaching schedule.  This display is not intended as a mechanism to compute instructor workload or semester credit loads; standardized reports are available from OIRE to provide school, departmental and individual instructor summaries.

Instructor Advising Information: Provides information on advisees assigned to an instructor as recorded in UConn’s student record system.

Advisee count summaries are provided for undergraduate career students, individual student information is displayed for graduate career advisees.  This information is provided to allow the instructor to verify that the information contained in UConn’s student record system is consistent with the instructor’s actual advising load.

Why is the information displayed for my class section and/or advising data inaccurate?

There is currently no practical way for the data displayed in HuskyDM to be real-time. For official UConn reporting purposes, information is frozen following the 10th day of the semester to allow for consistent, replicable reporting. The advisee information provided for fall and spring was extracted at these census points. In an attempt to get more up-to-date class section content, the instructor teaching schedule information is updated in April for both fall and spring semesters.

How are course values calculated in HuskyDM?

Course credit value is displayed for the whole course, even if you only teach one section of the course. Only for departments with standard lecture courses (no supplemental labs or discussion sections, not multiple sections meeting same time with same instructor, no team-taught courses) can the credit hour value of the course be used in any summary calculation. As done in previous years, number of courses and generated student credit hours will be calculated by a separate report generated directly from PeopleSoft data and included in the Provost Annual Report at the end of the reporting cycle. This applies to PAR items 1b, 4b, 13b, and 14b. Any credit hour data that you see in HuskyDM can be ignored.

When I sum up the course credits displayed in the “PeopleSoft Reported” section of my scheduled teaching report, the sum is too high. What’s wrong?

This class information is provided only to allow the instructor to verify that all the information contained in UConn’s student record system is consistent with the instructor’s actual teaching schedule. Multi component, variable credit, team taught and/or cross-listed class sections will lead to redundant counts and inaccurate summaries. As done in previous years, number of courses and generated student credit hours will be calculated by a separate report generated directly from PeopleSoft data and included in the Provost Annual Report at the end of the reporting cycle.

Reporting

How do I run a report?

Select Report from the left hand menu. Select the pre-built report that you would like to run, or select the + Create a New Report button in the top right-hand corner of the screen. Enter the parameters for your report and select Run Report in the top right-hand corner of the screen.

While faculty can run the university required report of faculty, such as PAR, PTR or Merit Report, as well as their own intellectual contribution report, department and school administrators can run all these report for their own academic units. HuskyDM users can also run ad hoc reports of various data that are stored in the system either through selection of data of their interest or through keyword searching.

I have a specific report that I produce annually which reports data that HuskyDM stores. Is there a process to have that report available in HuskyDM?

Yes.  The process to add a report to HuskyDM may take several months, depending on its complexity. Please contact huskydm@uconn.edu for assistance.
